Introduction

When you apply for a vacancy at Adform A/S or any of its subsidiaries (“Adform”), Adform will collect and process personal data on you as ajob applicant, including storage of your job application, your CV and other relevant material. In case a relevant vacancy occurs in the company in the future, and if you give your explicit consent to Adform's storing of your application, CV and other relevant material for the latter purpose, such data will be stored for 6 months from the day of your application and will be deleted after that period.

 

Adform kindly requests that you only submit personal data about yourself in your job application, CV or other relevant material you choose to provide to us, to the extent such information is relevant for the specific position you are applying for. For this reason, please do not include information on your personal identification numbers (CPR, national identification number, tax identification number, national insurance number and similar, passport number and other similar identity numbers applicable in different EU regulations, hereinafter – Personal Identification Number) in the submitted documents and consider whether there is any other personal information, such as health information, information on family relations or similar, that is not nec- essary for Adform's recruitment process.

Personal data processed by Adform

Adform processes the personal data you have provided to us by submitting your job application, CV and other relevant material (such asdiplomas, references, background check results, personality test results (if relevant) etc.), and personal data that are collected from third parties for example, recruitment agencies, via LinkedIn, an online search or a former or current employer that, on the basis of your consent, has provided Adform with a statement for recruitment purposes.

Legal basis for processing

Adform processes the personal data you have provided to Adform for recruitment purposes based on our legitimate interest in reviewing and assessing your application for the given vacancy, including the legitimate interests. This processing also includes our legitimate interests in managing and documenting the recruitment process, which may include conducting background checks and personality tests, whererelevant).

If you are chosen for one of our vacancies, you will be required to enter into an employment contract. The legal basis for such processing will be a contract between you and Adform.

Storage of your personal data for relevant future recruitment only takes place based on your consent.

In certain situations, it may be pertinent for us to obtain information regarding criminal matters in the form of a criminal record, based on our legitimate interest in recruiting for positions of trust. If these criminal records contain information about criminal matters, such information will be processed solely on the basis of your explicit consent.

Where Adform's processing of your personal data is based on your consent, you may withdraw your consent at any time. Please note that this does not affect Adform's processing of your personal data prior to the withdrawal of your consent.

Recipients of your personal data

Adform may disclose certain personal data about you to certain third-party recipients, such as intra-group companies or service providers inrelation to the recruitment process (e.g. for the purpose of performing background checks and/or personality tests). Such parties will only process personal data about you on behalf of Adform and in accordance with the instructions given by Adform.

Transfer of your personal data to a third country outside of EU and EEA

Your personal data may be transferred to countries outside of the EU/EEA (third countries).

 

Adform shall ensure that any third country transfer is carried out in accordance with the applicable data protection legislation, including the GDPR. This entails that transfers of your personal data to third countries can only take place if the transfers are subject to an established adequate level of protection in accordance with Chapter V of the GDPR. Storage of your personal data

Adform will store your job application, CV and other relevant material for 6 months if you are not chosen for the vacancy you applied for, and if you have given your consent to such storage. If you did not give consent for such storage your data is not retained.

Your rights as a data subject

During the recruitment process, or if your job application, CV and other relevant material is stored for future recruitment pur- poses based on your consent, you have the right to access the personal data Adform processes about you.

Furthermore, depending on the circumstances you also have the right of rectification of your personal data, erasure, restriction of theprocessing of your personal data, data portability and the right to object against the processing of your personal data.

Changes to this Privacy Policy

This Applicant Privacy Policy ("Applicant Privacy Policy") will be updated on a regular basis and when necessary due to changes inapplicable law. The Applicant Privacy Policy will always include information on the effective date of the most recent version. To the extent, the changes of the Applicant Privacy Policy are regarded as material and significant, you will be ex- pressly informed hereof, for example, on Adform's website.
